Introduction

At Interlude, we respect your privacy and are committed to protecting your personal data when you use our website and services related to travel, education, international programmes, and experiences.

This policy explains what types of data we may collect, why we need it, how we use, protect and share it, and the rights available to you regarding your personal data.

This policy applies to interludetrail.sa and its associated online services.

1. Who We Are

Interlude is a service provider offering travel and experiences, educational programmes and study abroad, bookings, group programmes, and adventures and related services.

When collecting personal data through our services, Interlude acts as the data controller in cases where it determines the purpose and means of data processing.

2. Data We May Collect

The data we need varies depending on the service you request.

It may include: full name; date of birth or age when required; nationality when needed for the service; mobile number; email address; city or country; account and sign-in details; details of the requested programme, trip or course; destination and travel dates; accommodation and housing preferences; programme and service preferences; booking and quote details; records of communications with us; details of companions in a booking when required; and guardian data when a service is provided to a minor.

For some travel or study-abroad services, we may request additional data necessary to deliver the service, such as passport or visa details, or documents required by airlines, hotels, educational institutions or relevant authorities.

We only request data that is necessary to deliver the requested service.

3. How We Collect Your Data

We may obtain your data when you: request a quote; use the price calculator; fill in a contact form; interact with the chatbot; contact us via WhatsApp, email or phone; create an account on the site; book a programme, trip or educational service; make a payment for one of our services; sign in using Google or Apple; or provide us with documents needed to complete a booking or service.

Some technical data may be collected automatically, such as device and browser type and certain site-usage information, in accordance with cookie settings and your consent where required.

4. Why We Use Your Data

We use your data for purposes related to Interlude's services, including: preparing quotes; communicating with you about your enquiry; presenting travel, education and adventure programmes suited to your request; processing bookings; coordinating with hotels, airlines, transport providers and activity providers; coordinating with schools, institutes, universities and educational service providers; issuing and confirming invoices and payments; managing your account on the site; sending booking confirmations and service-related updates; providing customer service and support; improving our service quality and site experience; protecting the site and accounts from unauthorised use; and meeting regulatory, accounting and legal requirements.

5. Legal Basis for Processing Your Data

We process your data on the appropriate legal basis for each case, which may include: your consent; performance of a contract or service you have requested; steps taken at your request prior to completing a booking or agreement; compliance with a legal requirement; pursuing a legitimate interest of Interlude that does not override your rights and interests; or protecting your vital interests where necessary and to the extent permitted by applicable regulations.

We may seek separate consent where required by law.

6. Quotes and Marketing Communications

We may use the contact details you have provided to respond to your request and send you the quote and updates specific to the service you requested.

We will not use your data to send direct marketing messages except in accordance with applicable legal requirements and required consent.

You may opt out of marketing messages at any time using the unsubscribe option provided or by contacting us.

Opting out of marketing messages will not affect necessary communications relating to an existing booking or service you have requested from us.

7. Payment Data

When completing a payment, card or payment method details are processed through the approved payment provider used on the site, such as: Moyasar, Tabby, and Tamara.

Interlude does not store your full card number or card PIN.

We may receive limited information from the payment provider, such as: payment status; amount; reference number; payment method; and refund or cancellation status where applicable.

An instalment service provider may process some of your data in accordance with its own policy to assess your eligibility for its services.

8. Sign In with Google or Apple

If you choose to sign in through Google or Apple, we may receive the data you consent to share with us, such as: name, email address, and account identifier.

Data processed by these third parties is also subject to their own privacy policies.

9. Who We May Share Your Data With

We may share the minimum necessary data with parties required to deliver the requested service, such as: airlines; hotels and accommodation providers; transport companies; activity and experience organisers; schools, institutes and universities; insurance companies when a service requires it; visa service providers when needed; booking and technology system providers; email providers; SMS providers; WhatsApp and Meta when using their services for communication; payment service providers; and government or regulatory authorities when required by law.

We may also engage technical service providers to help us operate the site and systems, with data processing limited to the scope of the service required and in compliance with legal requirements.

We do not sell your personal data to any third party, and we do not share it with others for their own marketing purposes without an appropriate legal basis.

10. Travel and Services Outside Saudi Arabia

The nature of travel and study-abroad services may require sending some data to parties outside Saudi Arabia, such as: an international airline; a hotel; an educational institution; a programme or activity organiser; a transport company; or a service provider associated with the trip or study programme.

Only data necessary to deliver the requested service is transferred. International transfers of personal data are handled in accordance with the Personal Data Protection Law, its implementing regulations, and the requirements governing data transfers outside Saudi Arabia.

11. Children and Minors

Some Interlude programmes may include students or participants below the legal age for conducting certain transactions independently.

In these cases, we may request guardian data or consent when legally required or necessary to deliver the service.

We work to limit data collected about a minor to what is necessary for the programme, booking, or safety and operational requirements.

We take appropriate organisational and technical measures to protect personal data from unauthorised access, unlawful use, unauthorised alteration, loss, disclosure, and destruction.

We work to restrict access to data to those individuals and service providers who need it to perform their functions.

That said, no electronic medium can be guaranteed absolutely secure, and we continually work to improve the protective measures we use.

14. How Long We Keep Your Data

We retain personal data only for as long as necessary to fulfil the purpose for which it was collected, or for the period required by applicable regulations and accounting, commercial and regulatory obligations.

For example, we may retain records of bookings, invoices, payments, contracts and service-related correspondence for the period required for legal or business purposes.

When data is no longer needed, it is deleted, destroyed, or rendered non-identifiable in accordance with legal requirements.

Some of these rights may be subject to exceptions or requirements set by applicable law.

16. Account Deletion

If you have an account on the Interlude site, you may be able to request account deletion through your account settings or by contacting us.

Deleting your account does not necessarily mean deleting all data associated with prior transactions.

We may retain certain booking, invoice, payment and document records where retention is required for legal, accounting or transaction-verification purposes.

17. Third-Party Links and Sites

The Interlude site may contain links to or services provided by third parties, such as airlines, educational institutions, or payment providers.
